You can upload many bills at once with an Excel sheet in ConnectBooks. It's very accurate when your sheet follows the exact format.
Go to the Purchasing section in the ConnectStock tab.
In the Bills tab, click Import on the top right.
Click Upload With Excel. If Landed Cost is on, then click Bills.
Download the Sample Template to see the format you need.
Note: The template can change based on your settings. For example, if warehouse tracking is off, the Warehouse column won't show.
Fill in the Excel template
Bill details (header):
Ref Number (required), for example 122
Date (required), for example 2/2/2025
Due Date (optional)
Vendor (required), for example Apple
Memo (optional)
Item details:
Item
Quantity
Cost (price per unit, optional)
Amount (the total cost for the line)
Note: If you use Vendor Items, you can enter either the inventory item name or the vendor item name in the Item column. We check both.
If you fill in Amount, the cost per item is Amount ÷ Quantity. If Amount is blank, ConnectBooks uses Cost, and the line total is Cost × Quantity.
Other columns:
Warehouse
U/M
Freight Cost, Tariff Cost and Other Cost. These show when Landed Cost is on.
Tariff Cost
To use the tariff rate saved on the vendor or on the item, type "vendor" or "item" in the Tariff Cost column. ConnectBooks then looks up that rate on the vendor or item and applies it.
Add more than 1 bill
To add another bill, add a new row with a new Ref Number and date. A new Ref Number starts a new bill.
PO number
This column only shows when Purchase Orders are on. To connect the bill to an existing purchase order, add the PO number here.
Create New
If you want ConnectBooks to create new vendors, items or warehouses from your sheet when they don't exist yet, type "Yes" in this column.
Upload the completed sheet
Make sure all vendors, items and warehouses exist in ConnectBooks. If one doesn't, that whole bill won't import (all its rows), unless you fill in Create New.
Drag the file in or click choose file, then click Import.
