An item transfer moves stock from 1 item to another item in ConnectStock.
How it works
Use it when units of 1 item become a different item, for example after you relabel or repackage them. You pick a From Item, a To Item and a quantity, and ConnectBooks takes that quantity out of the From Item and adds it to the To Item on the date you choose. The units keep their cost, so the To Item gets the average cost of the units that left the From Item.
Add an item transfer
Adding a transfer by hand needs Warehouse Tracking turned on for your inventory file. If it's off, use Import from Excel instead (see below).
To add an item transfer:
Go to ConnectStock, then Adjustments, and open the Item Transfers tab.
Click Add Item Transfer.
Fill in Reference Number and Date. Memo is optional.
Pick the From Warehouse and the To Warehouse.
In the table, pick the From Item, enter the Qty, and pick the To Item. On Hand Qty shows each item's stock on that date, and New Qty shows what it will be after the transfer.
Click Save.
Import item transfers from Excel
Import works whether Warehouse Tracking is on or off. When it's off, ConnectBooks uses the file's default warehouse.
To add many transfers at once:
On the Item Transfers tab, click Import.
In the Import Item Transfer popup, click Sample Template to download the template.
Fill in 1 row for each transfer: Ref Number, Date, From Item, Qty, To Item and Memo. If Warehouse Tracking is on, the template also has From Warehouse and To Warehouse.
Drag the file into Upload File (or click choose file), then click Import.
Rows with a problem are not imported. ConnectBooks downloads an Excel file that lists those rows and why they failed, so you can fix them and import them again.
Edit or delete an item transfer
To change or remove a transfer:
On the Item Transfers tab, click the 3 dots in the More column next to the transfer.
Click Edit, make your changes and click Save. Or click Delete Transfer, then click Confirm.
Give a team member access
To choose who can use Item Transfers:
Open your profile menu and click Users.
Click the gear icon next to the user's role (User).
Open the ConnectStock tab.
Next to Item Transfers, pick View only, Edit and View, or None.
Click Save.
View only lets them see transfers. Edit and View also lets them add, edit, delete and import them. Admins always have full access.
Things to know
Only Inventory and Assembly items can be used. The From Item and the To Item must be 2 different items.
Qty must be more than 0.
If any of the units that left the From Item came from an assembly, a disassembly or another item transfer, the To Item gets its own Item Cost instead (the cost saved on the item). If the To Item has no Item Cost, the transfer cost is 0.
Set the Date and both warehouses first. Until then you can't pick items.
If another item transfer already uses the same Reference Number, ConnectBooks asks you to confirm before it saves. In an import, a Ref Number that already exists is rejected unless you tick Allow Importing Duplicates.
If your inventory file has an Accounting Closing Date, a transfer dated before that date needs the closing date password. ConnectBooks shows a popup where you type it.
A transfer dated exactly on the closing date can't be saved or deleted. Unlock the file or move the closing date first.
Imported rows dated on or before the closing date are rejected.
You can't merge 2 items while there are item transfers between them. Delete those transfers first.
Frequently asked questions
What cost does the To Item get?
The average cost of the units taken out of the From Item. If any of those units came from an assembly, a disassembly or another item transfer, it gets the To Item's own Item Cost, or 0 if the To Item has no Item Cost.
Why can't I find my item in the list?
Only Inventory and Assembly items show. Also check that you set the Date and both warehouses first.
Why don't I see the Item Transfers tab?
Your user needs the Item Transfers permission set to View only or Edit and View. Ask an admin on your account to change it.
Why don't I see Add Item Transfer or Import?
Those need the Edit and View permission. View only lets you see transfers but not change them.
