Open Sales Orders Report in ConnectStock

See every sales order line that still has units to fulfill, with open quantity, open value, ship by date and days open.

The Open Sales Orders Report shows what customers have ordered from you that you haven't fulfilled yet.

How it works

A sales order (SO) is a customer's order that you'll fill later, and ConnectStock is the ConnectBooks inventory tool where you keep them. The report lists each line of each SO that still has open units. As you fulfill units on invoices made from the SO, its open quantity goes down. Once an SO is fully fulfilled, or you mark it as closed, it drops off the report.

To open the report:

  1. Click Reports in the main menu, then click Inventory.

  2. Under ConnectStock, click Open Sales Orders Report.

You can also go straight to the Open Sales Orders Report.

To run the report:

  1. To limit it to SOs from certain dates, click the box next to Select Dates, pick the dates, then click Done. Leave it empty to see open SOs from all dates. Click Clear to remove the dates.

  2. Pick how to group the rows under Group By: Item, Customer, Warehouse or SO #. Item is picked at first.

  3. Click Run Report.

Columns

  • Item: the item name and description.

  • SO #: the SO number. Click it to open the SO in a new tab.

  • Open Qty: units not fulfilled yet.

  • Open Value: what the open units sell for.

  • Ordered Qty: units on the SO line.

  • Fulfilled Qty: units already fulfilled.

  • Unit Price: the price of 1 unit.

  • Days Open: days since the Order Date.

  • Order Date: the date on the SO.

  • Ship By Date: when the order should ship.

  • Customer: who placed the order.

  • Warehouse and Note: hidden at first. Click Columns to show them.

Rows start sorted by Open Qty, highest first. The bottom row adds up Open Qty, Open Value, Fulfilled Qty and Ordered Qty, and each group shows its own subtotals. Use Search to find a row.

To export the report:

  1. Run the report.

  2. Click Export.

You get an Excel file with the rows in the report.

To turn on sales orders:

  1. Go to Stores & Files, then Inventory Files, and click your inventory file.

  2. Click Edit.

  3. In the left panel, click Purchasing & Vendors.

  4. Turn on Sales Orders and click Save.

Things to know

  • Fulfilled Qty = Ordered Qty minus Open Qty.

  • Open Value = Open Qty × Unit Price.

  • Unit Price = the line's price ÷ the units in its unit of measure (if you turned on Unit of Measure, for example to sell by the case). A case of 12 priced at $36 shows a Unit Price of $3.

  • Quantities count single units, so 1 case of 12 shows as 12.

  • Prices show in your inventory file's base currency. SOs in another currency use the SO's exchange rate.

  • The dates filter uses the SO's Order Date.

  • You need ConnectStock, an inventory file, and the Sales Orders permission to see this report. If your Items access is limited, you only see your items.

  • Inventory under Reports shows only if your user has at least 1 inventory report permission. If you don't see it, use the direct link above.

Frequently asked questions

Why isn't my SO on the report?

It may be fully fulfilled, marked as closed, or outside the dates you picked. Only SOs with open units show.

How do I take an SO off the report if I won't fill the rest?

Open the SO from Sales Orders, click Edit, then click Mark as closed. To bring it back, click Edit, then Reopen. You need edit access to Sales Orders.

Does the report change my inventory?

No. It only reads your SOs.
