How to Send ConnectStock COGS to the Store's COGS Account

Post all ConnectStock COGS for 1 store to 1 COGS account in QuickBooks or Xero.

By default, ConnectStock sends cost of goods sold (COGS) to each item's own COGS account, or to the inventory file's default COGS account. You can choose to send all the COGS for 1 store to a single account instead.

How it works

COGS is what the products you sold cost you. For stores linked to ConnectStock, ConnectBooks sends that cost to QuickBooks or Xero.

  • Switch off (the default): the COGS goes to the item's own COGS account. If the item has none, it goes to the default COGS account of the inventory file.

  • Switch on: all ConnectStock COGS for this store goes to the store's Default COGS Account, even for items that have their own COGS account.

Turn it on

To send a store's COGS to 1 account:

  1. Go to Stores & Files and click the store.

  2. On the Accounting tab, under Accounting Settings, click Settings.

  3. Open the Advanced Mapping tab.

  4. Under Default Accounts, pick the account in Default COGS Account.

  5. Turn on "Use the store's COGS account for ConnectStock".

  6. Click Save

Things to know

  • Only the COGS account changes. The inventory asset account still comes from the item, or else from the inventory file's default.

  • Other stores on the same inventory file are not affected.

  • When you save, settlements that are ready to export are rebuilt with the new account. Settlements already exported, or with an export already started, keep the old account.

  • It works the same for QuickBooks and Xero.

Frequently asked questions

I don't see the switch.

It only shows for stores linked to a ConnectStock inventory file, and only when the store sends COGS. On the store's QuickBooks (or Xero) tab, make sure "Don't Import Cogs to QuickBooks" (or "to Xero") is not checked. The Default Accounts rows also hide while you search or filter, so clear the Search box and pick Select All in the Account Type list. If you opened the page from an Unmapped fees issue on a settlement, open the settings from Stores & Files instead.

Why can't I save?

The switch is on but Default COGS Account is empty. You'll see "Required" under it, or the message "Select Item COGS Account". Pick an account, then save.

My settlement shows a COGS issue.

Click the issue in the COGS column. If the switch is on and the issue lists "Missing Cost of Goods Sold Account", the store's Default COGS Account is empty. Click Fix to open the Advanced Mapping tab, pick an account, and save.
