ConnectBooks gives each file its own inbox address. Forward vendor bills to that address and ConnectBooks will read the bill and queue it up for you to review in Purchasing, AI Review. Once you confirm the bill looks good, ConnectBooks saves it as a regular bill.
Where to find your inbox address
Navigate to stores and files, inventory files.
Go to File Settings, Purchasing and vendors, Vendor Inbox Rules
Copy the address at the top of the page.
Each file has its own unique address, so bills always land in the right file.
How to send bills
You have two options:
Forward manually. When a bill comes into your email, forward it to your ConnectBooks inbox address. Attachments PDFs are supported.
Have vendors send directly. Add your ConnectBooks inbox address to each vendor's billing contact list. Their bills will come straight into ConnectBooks with no forwarding needed.
What happens next
Only bills from senders on your Trusted Vendors list are processed. Anything from an unapproved sender is ignored, until you approve that source email.
When an approved bill comes in, ConnectBooks reads the bill, pulls the line items, and drops it into Purchasing, AI Review. From there:
Open the bill in AI Review to see what ConnectBooks extracted, vendor, line items, quantities, costs, and totals.
Make any edits if something needs adjusting.
Click Confirm to save it as a regular bill.
Bills you haven't reviewed yet stay in the AI Review queue until you get to them, so nothing gets lost.
Managing your Trusted Vendors list
To add a sender, type their email address in the Add sender field and click Add.
To remove a sender, find them in the Senders list below and click the remove icon. Bills from that address will stop coming through.
Tips
Add the actual sending address, not the vendor's display name. Many vendors send from addresses like
billing@vendor.comornoreply@invoicing.com, which is what ConnectBooks matches against.If a vendor sends from multiple addresses, add each one.
Forwarded bills keep the original sender's address, so forwarding a bill from your own inbox still works as long as the original sender is on the Trusted Vendors list.
