We've updated how ConnectBooks exports settlements to QuickBooks and Xero. You can now export your sales and product costs separately, so missing product costs no longer hold up your settlement export.
1. How the new export works
Previously, ConnectBooks exported your settlement and cost of goods sold (COGS) together. If a product was missing a cost, or if an item was unmapped, the entire export couldn't be exported.
Now, each settlement has two separate exports:
Export | What's included |
Settlement | Sales, refunds, fees, and all transactions Included in the settlement report. |
COGS | The cost of products sold, moving the amount from Inventory Asset to Cost of Goods Sold. |
Each export has its own status and can be completed independently.
Example: Your settlement is ready, but three products are missing costs.
Before: The entire export was delayed until those costs were resolved.
Now: Export the settlement immediately. Fix the missing costs and export COGS separately.
This means your sales and fees can reach QuickBooks without waiting for inventory costs.
2. Understanding the new export page
You'll now see separate Settlement and COGS columns on the Accounting Export page.
Each column shows its own status, issues, and export options.
For example:
Settlement | COGS | What it means |
Exported | Pending | Sales are exported. Product costs are still waiting. |
Exported | Exported | Both exports are complete. |
Ready to export | Missing cost | You can export the settlement now and resolve COGS later. |
Don't see a COGS column?
The separate COGS column only appears when:
Your store does not track inventory in QuickBooks.
Import Cogs to QuickBooks (or Xero) is enabled at the top of the Accounting Export page (you can enable it by clicking the more button on an individual store, not by all stores)
Otherwise, you'll continue to see one Settlement column, with any relevant COGS issues included there.
3. What each status means
Status | Meaning | What to do |
Pending | Waiting for data or processing to finish. | Wait, or resolve any displayed issues. |
Export | Ready to export. | Click Export. |
Syncing | Currently sending to QuickBooks or Xero. | Wait for completion. |
Exported | Successfully exported. | No action needed. |
Error Syncing | The export failed. | Check the intercom chat for an error reason or contact support. |
Error | ConnectBooks couldn't process the data due to a reconciliation issue. | Contact support. |
Missing Settlement | Amazon hasn't provided the settlement report. | Click Fix for instructions. |
Deleting / Deleted | Documents are being removed or have been removed from QuickBooks | No action needed unless deletion fails. |
Error Deleting | Documents couldn't be deleted. | Contact support. |
Important: Each column works independently. An error or delay in COGS does not affect a settlement that's already exported.
4. How to fix export issues
If something needs your attention, an orange notification appears next to the affected export.
Click it to see what's missing, then select Fix to open the correct page.
Settlement issues
Issue | How to resolve it |
Uncategorized products | Update product categories in Product Settings. |
Unmapped products | Map the products in Product Settings. |
Unmapped fees | Update fee mapping in Store Settings. |
Missing settlement | Follow the instructions to request the report from Amazon. |
QuickBooks/Xero not connected or setup incomplete | Complete the accounting connection or onboarding. |
Missing accounting account | Update the required account in Store Settings. |
Missing shipping cost | Add shipping costs if needed. This is a warning and does not block the export. |
COGS issues
Issue | How to resolve it |
Missing product cost | Add the missing cost in Product Settings. |
Missing cost from an integration | Review the cost for that settlement. |
Unmapped products | Map the products to the correct ConnectStock or QuickBooks items. |
Missing COGS or Inventory Asset account | Configure the accounts in Inventory File Settings. |
Negative inventory | Review and resolve the negative inventory. |
Once you resolve the blocking issues, the affected export becomes available when any required processing is complete.
You don't need to fix a COGS issue to export a settlement that's already ready.
5. Exporting, resending, and deleting
You can now manage the Settlement and COGS separately.
Click the three-dot menu (⋯) next to any settlement to access these options:
Action | What you can do |
QuickBooks docs | Preview or review Settlement and COGS documents separately. |
Download documents | Download available invoices, credit memos, or Excel documents for either part. |
Resend to QuickBooks | Resend Settlement, COGS, or Both. |
Delete from QuickBooks | Delete Settlement, COGS, or Both. |
Resending or deleting requires confirmation.
You can also select multiple settlements and use the bulk actions at the bottom of the page to re-export or delete Settlement and COGS documents separately.
Auto Sync: If enabled, ConnectBooks automatically exports each part as soon as it's ready. You don't need to wait for both parts.
6. Frequently asked questions
Why does my settlement say Exported while COGS says Pending?
Your sales have already been exported, but your product costs aren't ready yet.
Click the COGS issue notification to see whether anything needs fixing. If no issues appear, ConnectBooks may still be waiting for cost data, ship dates, or an integration to finish syncing.
Can I export a settlement with missing product costs?
Yes. That's the main benefit of this update.
You can export the settlement now and export COGS once the missing costs are available, provided no other issue blocks the settlement.
Why don't I see the COGS column?
The separate column only appears when inventory isn't tracked in QuickBooks and the COGS import setting is enabled.
Otherwise, COGS is handled within the existing Settlement export workflow.
How do I export something again?
Open the three-dot menu next to the settlement and select Resend to QuickBooks.
Choose Settlement, COGS, or Both.
The regular Export button won't resend documents that have already been exported.
What happens if I resend or delete both parts and only one succeeds?
You'll see a Partial success message.
The successful part is complete. You only need to retry the part that failed.
What if COGS shows Error Syncing?
Hover over the status to see the error.
If your QuickBooks or Xero connection expired, reconnect your account. For other errors, contact support.
Your Settlement export is not affected.
The main takeaway
Your settlement no longer needs to wait for missing product costs.
ConnectBooks can now export sales, refunds, and fees first, then export COGS when it's ready. Each part has its own status and can be managed separately, giving you more control over when your financial data reaches QuickBooks or Xero.
