QuickBooks: A record the settlement uses was deleted

What to do when a settlement uses a record that was deleted in QuickBooks.

A settlement uses a record in QuickBooks, like an item, account or class, that no longer exists.

How to fix it on QuickBooks Online

  1. If the error names the item, account or class, restore it in QuickBooks Online. For accounts, see QuickBooks Account Missing. If the error doesn't name it, contact support and send us the settlement's CB ID#.

  2. In ConnectBooks, go to Accounting Export. Click the 3 dots on the settlement and choose "Resend to QuickBooks". If you see Settlement, COGS and Both, pick the one that shows the error.

How to fix it on QuickBooks Desktop

QuickBooks Desktop names the missing record only by an internal ID, so send the settlement again from the start.

  1. In ConnectBooks, go to Accounting Export. Click the 3 dots on the settlement and choose "Delete from QuickBooks". If you see Settlement, COGS and Both, pick the one that shows the error.

  2. In QuickBooks, click File, then Update Web Services. Tick your company and click Update Selected.

  3. When the status in ConnectBooks shows "Deleted", click the 3 dots on the settlement and choose "Resend to QuickBooks". Pick the same option as in step 1.

  4. Run the Web Connector again: click File, then Update Web Services, tick your company and click Update Selected.
