QuickBooks Account Missing

What to do when a settlement fails because a QuickBooks account was deleted or turned off.

ConnectBooks couldn't send a settlement to QuickBooks because an account it needs is deleted or turned off. A settlement is a payout from the marketplace. On the Accounting Export page, the settlement shows "Error Syncing".

Why it happens

Every sale and fee goes into an account in QuickBooks. If someone deleted that account or made it inactive, QuickBooks won't accept the settlement. This often happens after someone cleans up the account list in QuickBooks.

How to fix it

  1. Check the email we sent with the subject "Error Syncing QuickBooks Online". It often names the account. You can also hover over "Error Syncing" on the Accounting Export page.

  2. In QuickBooks Online, open your Chart of accounts. This is your list of accounts. Find it under Accounting, or in the gear menu.

  3. Click the small gear above the Action column and tick "Include inactive". Deleted accounts show "(deleted)" next to the name.

  4. Find the account and click "Make active".

  5. If the error names a product, go to Sales > Products and services. Open the product and check that its accounts are active.

  6. In ConnectBooks, go to Accounting Export. Click the 3 dots on the settlement and choose "Resend to QuickBooks".

Frequently asked questions

I can't find the account.

In QuickBooks Online, a deleted account is usually just made inactive, so step 3 should find it. If it's really gone, pick a different account in Store Settings, then resend. Go to Stores & Files and click the store. On the Accounting tab, under Accounting Settings, click Settings. Default accounts are on the Inventory Settings tab, under Default Accounts. Fee accounts are on the Advanced Mapping tab. Click Save, then resend.

The account had money in it when it was turned off.

QuickBooks moved that amount to an account called Opening Balance Equity. Ask your accountant if it needs to be moved back.
