Troubleshooting Shopify and Investigating Gateway and QuickBooks Discrepancies

If you're having trouble reconciling Shopify gateways in QuickBooks (QB) and finding discrepancies, follow these steps to troubleshoot and reconcile. Let's use "Acima Finance" as an example:

  1. View the QuickBooks Balance Sheet:

    Go to QuickBooks → Reports → Balance Sheet.

  2. Select the gateway you want to reconcile, (in this example it's Acima Finance) and set the date range from the last reconciliation date to the current date to view ConnectBooks invoices and bank deposits.


  3. Group Transactions by Type:

    Use the dropdown menu to group transactions by "Transaction Type" to separate ConnectBooks invoices and bank deposits.


    In this example, ConnectBooks invoices total $11,734.92.

  4. Check Shopify Analytics:

    Log in to Shopify and navigate to Analytics → Reports → Summary.

    Look for Acima Payments.

  5. In this example, you can see Shopify shows a total of $11,734.92 across the 2 "Acima Payment" gateways.


  6. Additional Verification:

    On the Accounting Export page, select the same date range, use the ConnectBooks gateway filter "View by Gateway," and choose the gateway you are trying to reconcile.

  7. Identify Discrepancies:

    Check if the total payments add up and match the amount in QB.
    discrepancies.

If ConnectBooks matches Shopify, it indicates that the discrepancy lies with the gateways or a QuickBooks issue. To investigate further, you should log in directly to the gateway, such as Acima Finance, and troubleshoot from there.
