When you connect a store to Finale Inventory for costs, ConnectBooks brings in the product costs for that store and saves them in ConnectBooks.
How costs come in
After each day ends, ConnectBooks:
Looks at the sales orders placed in Finale Inventory that day.
Works out the average cost of 1 unit for each SKU on those orders.
Saves that cost on the listing with the same SKU. A listing is how your product shows up in ConnectBooks for your store.
The cost stays in place until a day with a different cost comes in.
See your costs
To see the costs on a listing:
Go to the Listings page and pick your store.
Open the Product Cost tab.
In the Cost Period column, click the cell for your listing.
To open the cost periods, you need permission to edit product costs. You'll see each cost and the dates it covers. These costs also show in the cost column of your Profit & Loss reports.
Fix a missing cost
You need permission to edit product costs. To add a missing cost:
On the Listings page, open the Product Cost tab.
Check the Missing Cost filter.
Enter the cost in the Item Cost column and click Save.
You can also start from the Accounting Export page. Click "Missing cost" (or the number of issues) on a settlement, then click Fix next to "Missing cost".
Tip: add the cost in Finale Inventory too, so new days come in with a cost.
Edit a cost
If a cost is wrong, you can change it. You need permission to edit product costs.
To edit 1 listing:
On the Listings page, open the Product Cost tab.
In the Cost Period column, click the cell for your listing.
Click Edit. Find the row whose dates cover the wrong cost, change its Item Cost, and click Save.
The cost in a row applies to every date in that row.
To edit many costs at once in Excel:
On the Product Cost tab, click Export. You get a sheet with each cost. The Purchase Date column shows the day each cost starts. The first cost has no date. Leave it blank.
Fix the costs in the sheet.
Click Import, add your file, and click Import.
Important: the sheet replaces the cost history of each listing on it, so don't delete rows you want to keep. Before you upload, read the prefilled Excel sheet guide. It explains each column and how to fix a past cost.
Tip: fix the cost in Finale Inventory too. If you don't, the sync replaces your edit from the first synced day where the cost in Finale Inventory is different. This can be yesterday.
Things to know
The SKU on the Finale Inventory order must match the SKU of the listing in ConnectBooks. If it doesn't, the listing gets no cost.
Only days that are over get synced. Today's cost comes in after today ends.
If a SKU had no orders on a day, nothing is saved for that day. The last cost stays in place.
Your sales and fees come from your marketplace, not from Finale Inventory.
The old "Resolve" and "Download COGS excel" options are gone. You now check and fix costs on the Listings page.
Frequently asked questions
How is the average cost worked out?
ConnectBooks uses the estimated COGS Finale shows on each sales order line: the total for that day ÷ the number of units.
Does the first sync bring in past days?
Yes. When you first connect Finale Inventory, ConnectBooks also syncs some past days. Dates before the first synced day keep the listing's existing cost. If the listing had no cost, the first synced cost is used for earlier dates too.
Will the sync undo my edits?
It can for the newest days. Each time it runs, the sync checks the last synced day again, then each new day. If the cost in Finale Inventory for that day is different, the Finale Inventory cost is saved from that day on. Edits to earlier dates stay. To keep a new cost, fix it in Finale Inventory too.
