How to setup your inventory file in ConnectBooks

Create an inventory file, link your stores and pick your settings.

An inventory file is where ConnectStock keeps your items, stock and costs. It tracks stock in real time and uses FIFO (first in, first out) for costs, so you don't need QuickBooks' own inventory.

Step 1: Create the file

  1. Go to Stores & Files, then Inventory Files.

  2. Click "Add Inventory".

  3. Type a name and click Save.

File Settings opens on the Connected Stores tab.

Step 2: Link your stores

On the Connected Stores tab, turn on each store that should use this file.

Closed it too soon? Go back to Inventory Files and click "Continue Setup" on the file.

Step 3: Pick your settings

In File Settings, click Edit, make your changes, and save. You can change these any time.

  • General: Use Listing Item Image is on by default and uses the listing's picture for each mapped item. Turn on Assembly Items if you sell products built from other parts.

  • Inventory & Warehouse: Warehouse Tracking is on by default. Click Manage Warehouses to pick the warehouse for each type of transaction.

  • Purchasing & Vendors: turn on Unit of Measure if you buy in cases or pallets but sell single units.

  • Dates: set the Beginning Date for each store. This is the day ConnectStock starts tracking. Pick a day you know your stock counts, then enter those counts as an opening adjustment.

  • Accounting: link the file to QuickBooks or Xero.

Frequently asked questions

I get "you must select warehouses for that store before saving".

You track warehouses and set a Beginning Date, but the store has no warehouses yet. Set them under Inventory & Warehouse, then save.

Do I need more than 1 inventory file?

Only if your businesses are truly separate, like 2 QuickBooks or Xero companies. Files never share stock. Switch between files with the dropdown on any inventory page.

What do I do next?

Add your items and bills. See How to Add Bills in ConnectStock.
