Shopify Apps and Gateways Explained

How Shopify orders come into ConnectBooks, and your 2 options for grouping them.

When you connect Shopify, ConnectBooks brings in your orders. This article explains how Shopify orders work, and how ConnectBooks groups them.

How Shopify orders work

Every Shopify order has 2 details.

  • App is where the customer bought. It's the sales channel, for example Online Store (your website), Point of Sale, Draft Orders or Facebook.

  • Gateway is how the customer paid, for example Shopify Payments or PayPal.

Example: a customer buys on Facebook and pays with PayPal. The app is Facebook, and the gateway is PayPal.

How ConnectBooks groups your orders

ConnectBooks puts orders into groups, like deposits.

  • Shopify Payments orders are grouped by payout. Each group matches the money Shopify sends to your bank.

  • Orders paid any other way, like PayPal, are grouped by week, Sunday to Saturday. These groups don't match a real deposit. They just keep each week's orders together.

2 ways to split your weekly groups

This only changes weekly groups. Shopify Payments always stays grouped by payout.

Option 1: By payment (simple)

Every store starts here. ConnectBooks groups orders only by how the customer paid.

Example: 7 customers buy on your website and 3 buy on Facebook. All of them pay with PayPal.

  • PayPal: 10 orders

Option 2: By app and payment (detailed)

Orders from apps other than your website, Point of Sale and Draft Orders get their own group.

Same example:

  • PayPal: 7 website orders

  • Facebook – PayPal: 3 Facebook orders

Paid orders from Online Store, Point of Sale and Draft Orders stay grouped by payment.

Which option should I use?

  • Option 1 if you sell only on your website, with Point of Sale or with Draft Orders.

  • Option 2 if you also sell through other apps and want those sales kept separate.

How to switch to option 2

Before you start, keep in mind:

  • Turning any app on or off and saving switches your store to option 2.

  • You can't go back. If you're not sure, contact support first.

  1. Go to Stores and click your Shopify store.

  2. Open Gateways & Apps and select Apps.

  3. Turn on every app you sell through. Orders from apps that are off don't come in.

  4. Keep an app off if it sends orders from a marketplace that already connects to ConnectBooks, such as Amazon. If you turn it on, you get the same orders twice.

  5. Click Save, then confirm.

The change starts next Sunday. Older orders don't change.

The Apps and Gateways lists

Apps shows each app your orders came from. Turn an app on to bring in its orders, or turn it off to stop new ones. Orders that already came in stay.

Gateways shows each group of orders. You can set fees for each group here. ConnectBooks gets PayPal fees automatically. If you use QuickBooks, click QB Settings to choose the QuickBooks account for each group.

Unpaid and free orders

With option 2, unpaid and free orders get their own group for each app. For example, an unpaid Facebook order shows under Facebook (App). When the customer pays with PayPal, the order moves to Facebook – PayPal.

This works the same way for your website. An unpaid website order shows under Online Store (App).

With option 1, an unpaid order comes in only after the customer pays.

Removing a group

Open the ⋮ menu next to the group.

  • Delete from QB is only for QuickBooks users. It removes the group's data from QuickBooks, and it stays in ConnectBooks.

  • Delete All removes the group and its orders from ConnectBooks. If you already sent it to QuickBooks, use Delete from QB first.

Common questions

I don't see any apps.

Apps show up after ConnectBooks gets orders from them. Wait for the first sync to finish.

Orders from an app stopped coming in.

The app is probably off. New apps start off, so turn on any new app you sell through. For orders you missed, contact support.

I can't turn off Facebook – PayPal.

Turn off the Facebook app instead.

Can I go back to option 1?

No. Once your store uses option 2, it stays that way.
